Data center decommissioning

Data center decommissioning is the planned and documented process of taking IT equipment out of service, disconnecting power and cabling, sanitizing or destroying data, removing the hardware and updating asset records.

Also known as: DC decommissioning, Server decommissioning

What is Data center decommissioning?

Data center decommissioning covers everything between the last day equipment runs in production and the day it leaves the building with a record of where it went. It usually includes confirming the equipment is no longer needed, shutting it down in an agreed order, removing power and network cables, taking the hardware out of racks, sanitizing or destroying storage media, and updating the asset register and the DCIM or CMDB.

It differs from a simple equipment pickup in the paperwork and the order of work. A pickup moves boxes. A decommission proves that each asset was identified, that data was handled to an agreed method, and that nothing was removed that should have stayed. It also differs from a full site exit, which may include power systems, cooling and building services in addition to IT equipment.

Providers draw the boundary in different places. Some include data sanitization and recycling in the same service. Others stop at removal and hand the equipment to a separate disposal vendor. Always ask who is responsible for the data, for transport and for the certificate of destruction or erasure.

How it shows up in practice

  • Start with an inventory and a decommission list that names each device by serial number and asset tag, so nothing is removed by guesswork.
  • Agree the shutdown order and who confirms that each system is safe to power off, normally the system owner and not the field engineer.
  • Decide the data method per device before the visit: erase in place, remove the drives for destruction, or ship intact to an approved processor. NIST SP 800-88 describes Clear, Purge and Destroy as the main categories.
  • Record chain of custody from the rack to the next handler, with photos and a signed handover.
  • Update the asset register and the DCIM tool, and release the rack space, power and cross-connects that were in use.

QUESTIONS

Common questions.

What is included in data center decommissioning?
It normally includes inventory checks, controlled shutdown, cable and rack removal, data sanitization or drive destruction, packing and transport, and updated asset records. What is included depends on the scope, so confirm who handles data and disposal.
