Post-repair testing and user acceptance sign-off

Part of Hardware Break-Fix Support & Maintenance. Last reviewed October 2026.

Quick answer

What is Post-Repair Testing and User Acceptance Sign-Off?

Post-repair testing and user acceptance sign-off is the closing check on a hardware repair: the engineer tests the repaired component and the whole device, then the user or site contact confirms it works. Deploris runs the tests, records the results and obtains the sign-off before the ticket is closed.

WHAT THE WORK COVERS

What Post-Repair Testing and User Acceptance Sign-Off includes.

  • 01Component test for the part just replaced, such as display pixel check, keyboard and trackpad input test, battery health and charge cycle, or print test page and alignment
  • 02Whole-device regression check to confirm the repair did not break an adjacent function, including boot, network connectivity, USB and audio
  • 03Stress or burn-in run for repairs on thermal, memory, storage or power components, where stability only shows under load
  • 04Server and rack checks: drive rebuild or resync status, PSU redundancy restored, fans at normal speed, no active alerts in the event log
  • 05POS and peripheral checks: a test transaction path, receipt print, barcode scan, cash drawer kick and payment terminal handshake as agreed with the site
  • 06A named sign-off from the user or site contact, captured with time and date, with a documented note if sign-off is declined and why

HOW WE DELIVER IT

How it is delivered.

  1. 1

Agree the test list for the device class

The checks differ for a laptop, a receipt printer or a RAID array. We set the pass criteria per device class in the written scope so acceptance is not subjective.

  2. 2

Test at the point of repair

The engineer runs the component test, a whole-device check and, where relevant, a load test while still on site, and records results and photos.

  3. 3

    Walk the user through it

The user or site contact tries the device in real use, such as logging in, printing or ringing a sale. Anything not working stays open and is fixed before leaving.

  4. 4

    Capture sign-off and close

We record who accepted, when, and against which checks. Only then does the ticket move to closed, and the evidence goes into the closeout report.

INPUTS AND OUTPUTS

What you provide and what you receive.

You provide

  • A named person at each site authorized to accept completed work
  • Any acceptance criteria specific to your environment, such as required line-of-business apps to launch
  • Test accounts or a safe test path for POS, payments and print queues, where relevant
  • Rules for after-hours sign-off, such as remote confirmation by email when no one is on site

You receive

  • A recorded test result for every repaired device
  • Named user or site contact sign-off with date and time
  • A closeout report with photos and test results for on-site work
  • A clear open-items note if anything could not be completed on the visit

WHEN IT FITS

When this is the right deliverable.

Scenario 01

An IT manager is tired of tickets closed as fixed that reopen the next day, and wants proof of testing before a repair counts as complete.

Scenario 02

A multi-site business needs consistent acceptance across locations, so a store manager in one city signs off against the same checks as another.

Scenario 03

A regulated or audited environment needs documented evidence that repaired equipment was tested before returning to service, to support its own compliance records.

QUESTIONS

Frequently asked questions.

What testing is done after a hardware repair?
Testing covers the replaced component, the device as a whole and, for thermal, memory, storage or power repairs, a load or burn-in run. Servers also get redundancy and alert checks, and POS gets a test transaction. The exact list is agreed per device class in the written scope.
Why is user acceptance sign-off needed for a repair?
Sign-off confirms the device works in real use, not only on the engineer's checklist. It prevents tickets closing while the user still cannot work, and it gives you a record of who accepted. Deploris obtains it before closing, with a documented reason if it is declined.
What if nobody is on site to sign off the repair?
We agree an alternative in advance, such as remote confirmation from a named contact by email or ticket reply once the engineer has completed testing. If no confirmation arrives, the record shows tests passed but sign-off pending, so the gap stays visible instead of being closed silently.
Can the sign-off be used as an audit record?
It can support your own audit evidence, since it records the checks run, the results, who accepted and when, alongside photos. Whether it satisfies a specific audit is for your auditor to decide. We do not claim it guarantees compliance with any standard.
