Scheduled preventive maintenance visits with documented checklists

Quick answer

What is Preventive Maintenance Visits with Documented Checklists?

A preventive maintenance visit is a scheduled on-site inspection of servers, network devices, storage and power equipment, carried out against a written checklist to catch faults before they cause outages. Deploris sends a vetted field engineer on an agreed cadence and returns a completed checklist with photos and findings after each visit.

WHAT THE WORK COVERS

What Preventive Maintenance Visits with Documented Checklists includes.

  • 01Server checks of BMC logs (iDRAC, iLO, XClarity), fan and power supply redundancy, predictive drive failure flags and battery-backed cache state
  • 02Switch and router checks of interface error counters, optics diagnostics readings, spanning-tree state and a fresh configuration backup
  • 03Storage array checks of spare disk count, controller and cache health, and open vendor alerts
  • 04UPS checks of battery status, load percentage and any self-test results, with a request for the runtime test where the unit supports it
  • 05Environmental inspection of inlet temperature, airflow, blanking panels, filters and visible water or dust risk
  • 06Cabling and labeling hygiene: loose patch cords, strain, unlabeled ports and blocked cable paths
  • 07A findings list ranked by urgency, with each item assigned to an owner

HOW WE DELIVER IT

How it is delivered.

  1. 1

Build the checklist per device class

We create separate checklists for servers, network, storage, power and the room itself, using vendor guidance and your own standards. You approve the checklists before the first visit.

  2. 2

    Set cadence and access

Monthly, quarterly or half-yearly visits are scheduled by device class and criticality. Access windows, escorts and any change freeze periods are written into the schedule.

  3. 3

    Inspect and record on site

The engineer works through the checklist, records readings, photographs rack front and rear and any defects, and fixes low-risk items such as cable tidying and filter replacement within the agreed scope.

  4. 4

    Report and follow up

You receive the signed checklist and a ranked findings list within the reporting window agreed in the scope. Items that need parts, a change window or a vendor case are opened as tickets.

INPUTS AND OUTPUTS

What you provide and what you receive.

You provide

  • Rack elevations or an asset list showing what is installed where
  • Site access, escort arrangements and any induction or safety requirements
  • Your internal standards or vendor-specific maintenance guidance, if any
  • Permission rules for what the engineer may touch, test or power cycle

You receive

  • A completed and signed checklist per visit, per device class
  • Photos of racks, labels, environment and any defects found
  • A findings list ranked by urgency with recommended actions
  • Tickets raised for remediation items that fall outside the visit
  • A trend view of recurring findings across visits

WHEN IT FITS

When this is the right deliverable.

Scenario 01

Your server room has no scheduled inspection routine and problems such as blocked airflow or failing UPS batteries are discovered only when something stops.

Scenario 02

You operate remote branch or retail sites with no local IT staff and need someone to physically check equipment on a regular cycle.

Scenario 03

An audit or insurer asks for evidence of regular maintenance on critical infrastructure and you need dated, signed records.

QUESTIONS

Frequently asked questions.

What is included in a preventive maintenance checklist for a server room?
A server room checklist covers hardware health logs, redundant power and fan status, drive failure flags, network error counters, storage spares, UPS battery status, temperature and airflow, and cable condition. The exact items depend on your equipment and are agreed before the first visit.
How often should IT infrastructure get preventive maintenance?
Most environments settle on quarterly visits for core rooms and half-yearly visits for small sites, with monthly checks for high-criticality equipment. The right cadence depends on equipment age, vendor guidance and how costly an outage would be. We propose a cadence in the written scope.
Will preventive maintenance cause downtime?
Inspection, log review, cleaning and configuration backups normally do not need downtime. Tasks that do, such as power supply failover tests or firmware updates, are scheduled in an agreed maintenance window and follow your change process, with a rollback plan where relevant.
Do you provide evidence of each maintenance visit?
Yes. Every visit ends with a completed checklist, photos of the rack and any findings, and a ranked action list. These records are built to support your audit and compliance evidence, though we do not make compliance claims on your behalf.
