Rollout & Migrations

Office IT Relocation.

End-to-end IT move management for office relocations, covering disconnection at the old site, secure transport, and full reinstallation at the new location.

Overview

What is Office IT Relocation?

Office IT relocation services cover the disconnection, packing, transport, reinstallation, and testing of all IT equipment when your business moves to a new location. We coordinate with facilities teams, manage cabling requirements at the destination, and ensure every user is productive on day one at the new site.

WHY IT MATTERS

Why Office IT Relocation matters.

Many office moves are planned around furniture and keys, while IT is treated as something that will sort itself out. Then the new floor opens and the internet circuit is not live, there are not enough wall ports, a conference room has no network drop, or the equipment arrives in a pile without labels. Staff cannot work, and each hour of delay is paid for twice, once in lost productivity and once in emergency visits. IT readiness at the destination is the part of the move that often decides how the first week feels.

A well run relocation begins long before moving day. The destination is inspected for power, cabling, connectivity and space. Equipment is inventoried and labeled so it can be matched to a desk on arrival. The disconnection, transport and reconnection are scheduled to match the movers and building access. Afterward, the engineer tests each workstation, printer and meeting room, and walks the staff through the new layout. Deploris provides the vetted engineers and the coordination, and works alongside your facilities team, movers and carriers. The new building is not assumed ready until someone has seen it.

CHOOSING

Choosing this service.

What to decide before you order, and what sits outside the scope.

Move or rebuild at the new site

Relocating existing equipment saves purchase cost but carries the age of that equipment with it. If much of the gear is near end of life, pairing the move with a hardware refresh can avoid unpacking items you plan to replace within months.

Weekend cutover or phased move

A single weekend move is simpler to coordinate but leaves little time to fix surprises. A phased move by team or floor reduces the risk but means running two sites for a while. Decide how much overlap your business can tolerate.

Treat the server room separately

Moving a server room or network closet is a different risk from moving desks. It may need a staged cutover, extra testing and sign-off from system owners. Tell us early what lives in the room and who is accountable for each service.

Start the carrier lead time early

Internet circuits and some building services can take a long time to arrange, and they are outside our control. Order them as soon as the lease or move date is firm, and share their status so we can plan around realistic dates.

Not included

  • Ordering internet circuits and chasing the carrier for delivery dates stays with you unless we agree otherwise in writing.
  • Structured cabling installation by licensed contractors, and any electrical work, is a separate trade and a separate quote.
  • Moving furniture, boxes and non-IT items is done by your movers, not by our engineers.
  • Insurance for equipment in transit is arranged by you or your moving company, so confirm the cover before moving day.

USE CASES

Typical scenarios.

Scenario 01

A media agency relocating 250 staff from two floors to a new headquarters over a single weekend with zero Monday downtime.

Scenario 02

A bank consolidating three branch offices into one building, requiring phased IT moves to maintain continuous customer service.

Scenario 03

A tech startup moving into a new co-working space and needing network infrastructure, AV, and 150 workstations set up within 48 hours.

PROCESS

How the work runs.

  1. 1

    Survey both locations

We walk the old and new sites, list equipment, check ports, power, space and access rules, and record anything that must be fixed before moving day. A short risk list goes to your project lead.

  2. 2

    Label and plan the move

Equipment is tagged to a user, desk or room, and the destination plan shows where each item will land. Timings are set with your movers and building management.

  3. 3

    Disconnect, transport, reconnect

Engineers shut down and pack equipment, supervise its transport, then set up desks, printers, meeting rooms and network gear at the new location according to the plan. Fragile items and server gear get dedicated handling.

  4. 4

    Test and settle in

We check connectivity and devices at each position, resolve punch-list items and walk staff through the space, then close out with a reconciled equipment list. Staff receive a quick guide to printers, meeting rooms and who to contact.

FAQ

Frequently asked questions.

Can you perform the move over a weekend?
Yes. Weekend and overnight moves are standard practice. We plan the move in detail so that users arrive Monday morning to a fully operational workspace.
Do you coordinate with other vendors during the move?
We work alongside your movers, furniture installers, and building management to ensure IT readiness aligns with the overall move schedule.
What about server room equipment?
We relocate servers, switches, UPS units, and rack infrastructure with proper anti-static handling and environmental controls. Critical systems can be migrated with minimal downtime through staged cutover plans.
How do you handle equipment that goes missing during a move?
Every asset is tagged and logged before packing. We reconcile the asset list at the destination and escalate any discrepancies immediately.
How early should we involve IT in the move plan?
As early as the lease or move date is known. Early involvement gives time to check the new space, order circuits, plan cabling and decide what to replace instead of move. Late involvement tends to turn small problems into emergency fixes close to the move date.
Can you help if the new office has no network cabling yet?
We can define what is needed, coordinate with a cabling contractor you appoint and test the result, but the installation itself is a separate trade. We recommend finishing cabling and verifying it before the equipment arrives, because fixing walls and ceilings around a working team is difficult.
What if the move date changes at the last minute?
Date changes happen, and we plan with that in mind. Because engineers and schedules are booked in advance, a move may incur rescheduling effort, and the terms are set in the written scope. Telling us early about possible slippage helps us hold options open. Keep your movers and building manager informed too.
