On-site installation, configuration, and user acceptance testing

Part of Rollout & Migrations. Last reviewed October 2026.

Quick answer

What is On-Site Installation and User Acceptance Testing?

On-site installation and user acceptance testing is the physical delivery of a device to the user's seat, followed by a scripted check that the user can actually do their work. Deploris engineers connect and configure each endpoint, run your acceptance checklist with the user, and record the result for every seat.

WHAT THE WORK COVERS

What On-Site Installation and User Acceptance Testing includes.

  • 01Seat-level installation of laptops, desktops, docks, monitors, headsets and peripherals
  • 02Connection to wired or wireless networks, printers, shared drives and VPN or zero trust clients
  • 03First sign-in support, including MFA enrollment, SSO and password reset handling
  • 04Verification of line-of-business applications, Teams or Zoom audio and video, and print and scan
  • 05Scripted user acceptance test with pass, fail or defer recorded per seat
  • 06Cable management, labelling and removal of packaging and old equipment from the desk
  • 07Defect capture with severity, owner and a follow-up visit when a fix cannot be completed on the day

HOW WE DELIVER IT

How it is delivered.

  1. 1

    Confirm access and seat list

The engineer receives the seat list, device manifest and site contact. Access, parking, escort and loading dock details are confirmed before the visit date.

  2. 2

Install and configure at the seat

The engineer connects the device, joins it to the network, signs the user in, and applies any seat-specific settings that could not be preset during staging.

  3. 3

    Run the acceptance checklist

With the user present, we walk through your checklist: sign-in, email, core applications, collaboration tools, printing and peripherals. Anything that fails is logged with a severity.

  4. 4

Close out the seat and the day

Each seat is marked accepted, deferred or failed. A daily summary goes to your project lead listing completions, open defects and any seats that need a return visit.

INPUTS AND OUTPUTS

What you provide and what you receive.

You provide

  • Seat list with user names, locations and the device assigned to each
  • User acceptance checklist, or approval for us to propose one based on your standard applications
  • Site contacts, building access instructions and permitted working hours
  • Escalation contacts at your service desk for account, MFA and application issues

You receive

  • Completed acceptance record per seat with pass, fail or defer and engineer notes
  • Daily progress summary with completions, defects and return visits needed
  • Photos of installed equipment where required in the written scope
  • Defect log with severity, owner and resolution status

WHEN IT FITS

When this is the right deliverable.

Scenario 01

You need devices placed and verified at hundreds of desks across different cities, and your own desktop team cannot travel to all of them.

Scenario 02

Executives, trading or clinical staff cannot tolerate a device that nearly works, so each seat needs a documented acceptance check.

Scenario 03

Your rollout depends on a signed acceptance trail per seat before the old device is collected and the project closes.

WHERE WE DELIVER

Delivered in 75+ metros across 11 countries.

QUESTIONS

Frequently asked questions.

What is user acceptance testing in a device rollout?
User acceptance testing in a device rollout is a short scripted check, done with the user, proving the new device works for their job. It covers sign-in, email, key applications, collaboration tools, printing and peripherals. The result is recorded as accepted, deferred or failed for each seat.
How long does an on-site device installation take per user?
It depends on how much is preset during staging and how many peripherals are involved. A well-staged laptop with a dock is often installed and checked in well under an hour, while a complex workstation or a VIP seat takes longer. We agree timings in the written scope.
Can your engineers work outside business hours at our sites?
Yes. Evening and weekend visits are common for offices, trading floors and clinics where daytime disruption is costly. Out-of-hours work follows your building access rules, and any rate difference is stated in the written scope before work is scheduled.
What if a user is absent when the engineer arrives?
The engineer installs and tests everything that does not need the user, then marks the seat as deferred acceptance. Your project lead sees it in the daily summary, and a return visit or remote walkthrough is booked so the seat can be formally closed.
