Quick answer
What is Secure Media and Component Handling?
Secure media and component handling is the controlled physical treatment of drives, tapes, optics, and failed parts according to the customer's data handling policy. Deploris engineers follow your written rules for custody, labeling, static protection, and transport, record each item by serial number, and document every handoff so nothing leaves the rack unaccounted for.
WHAT THE WORK COVERS
What Secure Media and Component Handling includes.
- 01A custody log recording the serial number, barcode, or asset tag of every drive, tape, and component handled
- 02Static protection practices: wrist straps, ESD bags, and mats when working with boards and drives
- 03Tamper-evident bags or seals and labeled containers for removed media, per your policy
- 04Rules for failed drives, such as retain on site, return to a vendor, or hand to your approved destruction partner
- 05Courier and offsite storage handoffs with signed receipts and recorded seal numbers
- 06Optional supervised handling over a live video call for sensitive equipment
HOW WE DELIVER IT
How it is delivered.
- 1
Translate your policy into a task checklist
We read your data handling, media retention, and disposal rules, then turn them into per-task steps the engineer can follow without interpretation. Anything unclear is raised before the first request.
- 2
Verify identity before touching media
The engineer reads the serial or barcode against your instruction and confirms by photo or call before removing anything. A drive in the wrong bay is the failure this step prevents.
- 3
Secure, label, and track the item
Removed media goes into the container your policy requires, is sealed and labeled, and is entered in the custody log with time and location.
- 4
Hand off and reconcile
The item is handed to the courier, storage provider, or the designated recipient, with the receipt and seal number logged. We reconcile the custody log against your instruction at closure.
INPUTS AND OUTPUTS
What you provide and what you receive.
You provide
- Your data handling and media disposal policy, or the relevant extract
- Approved recipients, couriers, and offsite storage or destruction vendors
- Rules for each media class: retain, return, or hand over for destruction
- Any facility restrictions on what may be carried in or out of the cage
You receive
- A custody log with serial-level records and handoff times
- Photos of removed and installed items with labels visible
- Courier or storage receipts attached to the ticket
- Closure notes confirming the policy steps that were followed, in support of your compliance evidence
WHEN IT FITS
When this is the right deliverable.
A failed drive in a storage array holds regulated data and your policy says it must never leave the cage without a recorded handoff.
You are decommissioning a few servers and need drives pulled, bagged, sealed, and passed to your destruction vendor with a paper trail.
Your security team wants a supervised, on-camera swap of a self-encrypting drive instead of leaving it to an unwitnessed technician.
