Data Migration and Profile Transfer.

Data migration and profile transfer from legacy systems

Part of Rollout & Migrations. Last reviewed October 2026.

Quick answer

What is Data Migration and Profile Transfer?

Data migration and profile transfer is the controlled movement of a user's files, application settings, browser data and configuration from a legacy device to a new one. Deploris selects the method, runs the transfer, verifies it against a checklist, and keeps the source intact until the user confirms their data is complete.

WHAT THE WORK COVERS

What Data Migration and Profile Transfer includes.

  • 01Pre-migration discovery of profile size, local-only data, mapped drives and non-standard folders
  • 02Method selection per user group, such as USMT, OneDrive Known Folder Move, Jamf migration, or an agreed third-party tool
  • 03Capture of printers, browser bookmarks, email signatures, certificates and application settings in scope
  • 04Transfer and restore to the new device with file count and size reconciliation
  • 05Handling of encrypted drives, local PSTs and files held outside synced folders
  • 06Verification checklist signed off with the user before the legacy device is released
  • 07Hand-off of the legacy device to wipe, return or disposal under the agreed process

HOW WE DELIVER IT

How it is delivered.

  1. 1

    Discover what needs to move

We survey profile sizes, sync status and unusual data locations, and agree with you what is in scope, what stays behind and what must be archived.

  2. 2

    Choose method and test it

We select the transfer method per device type and network, then test it on sample machines, including a restore, before touching a production user.

  3. 3

    Transfer and reconcile

Data is captured and restored to the new device. File counts and sizes are compared against the source, and exceptions such as locked or long-path files are listed.

  4. 4

Confirm with the user and release the old device

The user checks their files and applications. Only after they confirm does the legacy device move to wipe or return, so a missed folder is still recoverable.

INPUTS AND OUTPUTS

What you provide and what you receive.

You provide

  • Scope decision on what to migrate, archive or leave, and your retention policy
  • Access rights to the legacy devices, the target tenant and any file shares or backups involved
  • Approved migration tooling or approval for us to recommend one
  • Handling rules for personal data, encrypted volumes and legal hold users

You receive

  • Per-user migration record showing method, data volume, exceptions and completion time
  • Reconciliation report comparing source and target file counts and sizes
  • List of items that could not be migrated, with a recommended action for each
  • Signed user confirmation before each legacy device is released

WHEN IT FITS

When this is the right deliverable.

Scenario 01

Staff are moving from Windows 10 to new Windows 11 hardware and expect their desktop, files and settings to be there on first sign-in.

Scenario 02

Users keep important data in local folders and unsynced PSTs, and you need to avoid losing it during a refresh.

Scenario 03

You are leaving an old platform or tenant, and each user's profile must be moved and verified before the legacy device is retired.

QUESTIONS

Frequently asked questions.

What is the difference between data migration and profile transfer?
Data migration moves the user's files and folders. Profile transfer also moves settings such as printers, bookmarks, signatures, certificates and application preferences. Deploris scopes both with you, because a user with all their files but none of their settings still experiences the rollout as a failure.
Which tools do you use to migrate user profiles between PCs?
We use the tool that fits your estate: USMT for Windows to Windows, OneDrive Known Folder Move where files already sync, Jamf-based methods on Mac, or your preferred third-party tool. We test on sample devices first and document the choice in the written scope.
How do you make sure no files are lost during migration?
We compare file counts and sizes between source and target, list anything that did not copy, and keep the legacy device untouched until the user confirms their data. That confirmation step is what protects you from a missed folder or locked file.
Can you migrate data from a device that will not boot?
Often yes. If the drive is readable, engineers can mount it through a bootable environment or an adapter and copy the profile. If the disk is failing or encrypted without a recovery key, we tell you the risk early, because recovery then depends on the drive's condition.
